HMGU2 – Establishing Information for a New Hire

Prerequisites: HMFU1, HMGU1
Key Fields: AGENCY, POSTING, POSTING EFF DATE, APPLICANT NO
Step Action
1 Access HMGU2.
2 Enter R in the SUBCOMMAND field.
3 Enter the following fields as required:
AGENCY (Key)
POSTING (Key)
Enter the agency-defined posting identification number.
POSTING EFF DATE (Key)
Enter the date the posting becomes effective.
APPLICANT NO (Key)
Enter the applicant identification number from HMFU1 (Applicant Identification).
APPLICATION STAT (Display)
Indicates the applicant’s status with regard to a posting from HMGU1.
NEW EMPLOYEE NUMBER (Optional)

The new employee’s SSN if different from the APPLICANT NO.

Note: The NEW EMPLOYEE NUMBER can be left as zeros as long as the APPLICANT NO is the SSN of the applicant. If the APPLICANT NO exceeds nine characters or is not the SSN of the applicant, the NEW EMPLOYEE NUMBER is required.

Enter a value to indicate the individual’s ethnicity.
0 White
1 Black
2 Hispanic
3 Asian
4 American Indian or Alaskan Native (AIOAN)
5 Other (Higher Education Agency Use Only)
6 Native Hawaiian or Other Pacific Islander (NHOPI)
7 Two or more races (MULTI)
PROJECTED START DATE (Optional)
Enter the new employee’s projected start date.
BIRTH DATE (Required)
Enter the employee’s birth date.
UPDATE OTHER APPLICATIONS FOR APPLICANT TO ACCEPTED OTHER OFFER (Required)
Enter a value to indicate whether to inactivate any applications for other positions that the newly hired employee might have completed.
Y Yes (default)
N No

Note: Only override this value if the applicant is being hired to fill multiple postings. Y will cause the system to update the status of all other open applications by this applicant to accepted other offer. An open application is defined as any application which does not have a status of not selected, applicant hired or accepted other offer.

UPDATE OTHER APPLICATIONS FOR THIS POSTING TO NOT SELECTED (Required)
Enter a value to indicate whether to update any other open applications for this posting to not selected.
Y Yes – Defaults to Y when OPENINGS minus HIRED is equal to 1.
N No – Defaults to N and is protected when OPENINGS minus HIRED is greater than 1.

Note: An open application is defined as any application where the status is not application withdrawn, not selected, rejected offer, applicant hired, neg reference/background or accepted other offer.

UPDATE STATUS OF THIS POSTING TO POSITION FILLED (Required)
Enter a value to indicate to update the status of this posting on HN3U1 to position filled.
Y Yes – Defaults to Y when OPENINGS minus HIRED is equal to 1.
N No – Defaults to N and is protected when OPENINGS minus HIRED is greater than 1.

Note: Using this process will automatically set up HIDU1 for the new employee. However, if the applicant is currently employed at a USPS agency, the HIDU1 record will not be updated, since the agency at which the applicant currently works is still responsible for this record.
