Sick Leave Pool

An agency can award sick leave pool time to eligible employees from the sick leave pool. The available hours in the sick leave pool were voluntarily donated from employees within the agency.

Administration of the Sick Leave Pool

Each agency must:

  • Adopt a policy to administer the sick leave pool
  • Designate a sick leave pool administrator

Agency Pool Balances

Agency pool balances are found on the HM0U2 screen. The maximum hours an employee can be awarded is one-third of the pool balance. If an agency wants to set up a sick leave pool, a letter of authority (LOA) is required.

The sick leave pool time is tracked separately from personally accrued sick leave time. Because of this, the sick pool hours are reflected in the SK POOL AW field and not in the SICK field on HM9U1.

Two primary steps must be done in order:

  1. Enter awarded hours on the HP9U2 screen before entering time taken
  2. Enter time taken on the HM9U1 screen

Managing Sick Leave Pool Time Procedure

  1. Access HP9U2 for the employee (if employee has record, skip to step 4)
  2. Set the cursor in the AGENCY field and enter your agency’s number
  3. Tab to EMPLOYEE SSN and enter the employee’s SSN with two leading zeroes
  4. Type I in the SUBCOMMAND field of a blank row
  5. Tab to ACTY; enter the leave type in the first area of the field; enter the leave activity in the second area of the field
  6. Tab to ST and leave blank
  7. Tab to HOURS and enter the number of hours and minutes of sick leave pool hours being awarded, returned, donated or reclaimed
  8. Tab to ENTRY DATE and enter the date the sick leave pool hours were awarded, returned, donated or reclaimed
  9. Press Enter to process the transaction
  10. Proceed to Step 11 to enter an employee’s request to take the sick leave pool hours awarded/given
  11. Access HM9U1 for the employee
  12. Type I in the SUBCOMMAND field of a row
  13. Tab to ACTY; enter the leave type in the first area of the field; enter the leave activity in the second area of the field
  14. Tab to ST and leave blank
  15. Tab to START DATE and enter the date the employee’s leave begins
  16. Tab to LVHRS and enter the number of hours and minutes of leave the employee is taking, earning, losing, etc
  17. Tab to END DATE and enter the date the leave ends
  18. Press Enter to process the transaction
