Requesting Common Leave Accounting Reports

This is a summary of how to request the most commonly used leave accounting reports. For further information on these or any other USPS reports, see either the USPS Reports Guide or the USPS Process guide.

Beginning a Leave Accounting Month

Report When Screen Field Updates
156 At least one day after clearing the previous month

HSRPT

  1. Fill in the AGENCY field if blank
  2. Enter 1 in the PAGE field if blank
  3. Enter 1 in the RI field if blank.
  4. Enter 156 in an RPT field

HNKLA

  1. LA PROCESS DATE – Last calendar day of the new LA month
196 At least one day after running report 156 or after manually accruing leave for the month

HSRPT

  1. Fill in the AGENCY field if blank
  2. Enter 1 in the PAGE field if blank
  3. Enter 1 in the RI field if blank
  4. Enter 196 in an RPT field

HNKLA

  1. LA PROCESS DATE – Last calendar day of the LA month

Before Running a Payroll (Optional)

Report When Screen Field Updates
594 At least one day before a trial payroll in which overtime/compensatory time is paid or pay is docked using special pay 12.

HNKLA

  1. LA PROCESS DATE – Last calendar day of the LA month

After Running a Payroll (Optional)

Report When Screen Field Updates
557 and 595 After a payroll where overtime/ compensatory time was paid or pay was docked using special pay 12.

HNKLA

  1. LA WARRANT START – Warrant (or deposit) date for the earliest payroll containing payment/dock to track
  2. LA WARRANT END – Warrant (or deposit) date for the latest payroll containing payment/dock to track
  3. START DATE – Date of earliest leave record to reconcile
  4. END DATE – Date of latest leave record to reconcile

End of the Leave Accounting Month

Report When Screen Field Updates
053 (Optional) After all payrolls for part-time hourly employees have been completed for the leave month

HNKLA

  1. LA PROCESS DATE – Last calendar day of the current LA month
  2. LA WARRANT START – Warrant (or deposit) date for the earliest payroll containing payment/dock to track
  3. LA WARRANT END – Warrant (or deposit) date for the latest payroll containing payment/dock to track

HSRPT

  1. Fill in the AGENCY field if blank
  2. Enter 1 in the PAGE field if blank
  3. Enter 1 in the RI field if blank
  4. Enter 053 in an RPT field
537, 569 and 597 After completing all data entry for the current leave month

HNKLA

  1. LA PROCESS DATE – Last calendar day of the LA month

HNKLM

  1. LEAVE SUMMARY MESSAGE – (Optional) Enter a message to be printed on each employee’s leave summary
199, 561, 563 and 565 After report 537 has been successfully run

HNKLA

  1. LA PROCESS DATE – Last calendar day of the LA month
  2. START DATE – First calendar day of month being reported
  3. END DATE – Last calendar day of month being reported

HSRPT

  1. Fill in the AGENCY field if blank
  2. Enter 1 in the PAGE field if blank
  3. Enter 1 in the RI field if blank
  4. Enter 199 in an RPT field
