Recalling a Record

The command line is located at the top of every USPS Screen. It allows you to quickly move throughout the system and is made up of three fields:

  • Command Field
  • Command Qualifier Field
  • Screen Name Field

(1) Command Field

Tells the system how you want to navigate by entering one of these commands:

  • GD – Get/Display: Recalls a record for viewing only. Pressing Enter scrolls to next record, if available.
  • GU – Get/Update: Recalls a record for editing. Pressing Enter scrolls to next record, if available.
  • GUH – Get/Update/Hold: Recalls a record for editing. Scrolling is disabled.

(2) Command Qualifier Field

Key information for the record you want to access. Usually the agency number and employee Social Security number separated by a comma.

(3) Screen Name

A five-character field. (First three characters denote the database; last two characters identify the screen.)

(4) Subcommand field

  • I – Insert a new record
  • R – Replace (change) an existing record
  • D – Delete a record

(5) USPS Messages

USPS displays up to three messages at the bottom of a screen at a time.

When there are more than three messages, an asterisk (*) replaces the "1" between the time and "M3LL". (See USPS Messages screen shot below.)

Press F8 to scroll through the remaining messages. Every message starts with a five-character code, the last character indicating the message type:

  • (I) Information – Displays to give you important information.
  • (W) Warnings – USPS has NOT saved changes. Read the message and make other possible changes as necessary. Press Enter to process.

Note: The subcommand field is blank when a record processes.

  • (F) Fatal – Displays when an error stops the record from processing. To process the record, make the indicated change and press Enter.

Getting Help

To view online help for a field or error message, move the cursor to the field or message and press F2. You may need to press F2 again to be redirected to a table or list with additional information. Press F3 to toggle back to the original screen.
