Lesson 4: Changing Payee Information

Research

Performing thorough research is an important step before making changes to a TIN. Things to consider:

  • Do you have the system-assigned 7 TIN for a payee who was set up with an SSN or ITIN or the payee’s Comptroller-assigned 3 TIN?
  • Do you have the correct payee and mail code?
  • Could the change you make impact payments other state agencies make to that same payee?
  • Is the status of the TIN and/or mail code active so changes can be made?
  • Is the mail code secured and can you make the change?

PYADDR

Review PYADDR to ensure you select the correct mail code to be changed. You can inquire on PYADDR using either the 2- or 7-based number for SSNs and ITINs.

PVOUIN

The Payee Voucher History (PVOUIN) screen is the only inquiry screen where an agency can see if other agencies issue payments to the same payee. PVOUIN displays the last paid 16 vouchers by mail code.

If the security level allows your agency to make changes to the mail code, you should notify the other agencies of the impending change(s). For other agencies’ contact information, see Paying Agency Contact List.
