Step Action
7 Link To the 91 Report Request Profile. The 91 Report Request Profile is used to select only those report options established in the D64 Report Control Profile.

The 91 Report Request Profile enables agencies to customize reports by:

  • Time Frame
  • Classification Level
  • Data Selection

    Time Frame enables the following:

    • Allows a user to select appropriation year, fiscal year, accounting period, and frequency of reports.
    • Allows an agency to control the reporting period and date of generation (specific date-MMYYDD) for some reports.
    • Allows a user to select a report which reflects only quarter data (for example, Q = first quarter).

    Classification Level enables the following:

    • Allows a user to request reports at different levels of the classification structure.
    • Allows a user to choose the Organization, Program, Object, Fund, Grant, Project, and General Ledger Account levels on a requested report. The availability of level options varies from report to report.

    Data Selection enables the following:

    • Allows users to limit reports to specific funds, comptroller objects, and other elements.
    • Allows users to limit reports to ranges of organization codes, appropriated funds, or agency objects.
    • Allows a user to request that some reports be sorted by specific values. Which reports and what values can be selected to sort the report depend on the allowed Special Select 1 and 2 options.

    Note: After the control key information is filled out, the 91 Report Request Profile will mirror the D64 Report Distribution Profile.

Highlighted Elements

Highlighted elements include:

  • Agency-identifies the agency requesting the report.
  • Requestor-identifies the individual requesting the report.
  • Report ID-represents the report number.
  • Request No-indicates the number of the request to track multiple requests made with the same Agency, Requestor, and Report ID.
  • Special Selects-allow a user to limit desired reports to a range of classification elements.

    Note: Agency, Requestor, Report ID, and Request No make up the control key for both the 91 Profile and the report itself.

  • Spec Sel 1-allows a user to limit desired reports to a range of elements not defined under special selects and in some case, to specify the sort order. Special select elements for each requestable report are listed in the 90 News/Help Table. See 'How to Use Report Help' in Chapter 3-Navigation.
  • Spec Sel 2-allows a user to limit desired reports to a range of elements not defined under special selects. Special select elements for each requestable report are listed in the 90 News/Help Table. See ‘How to Use Report Help’ in Chapter 3-Navigation.

    Note: Options for report selection on the 91 Report Request Profile are controlled by the D64 Report Control Profile.

    Note: The same report can be requested using varying combinations of customizing options allowed on the D64 Report Control Profile. These different versions of the same report are identified by the request number.

Step 8 Add a profile request for each requested report.

Note: Refer to the 91 Report Request Profile in the USAS Coding Instructions Reference Guide for a detailed explanation of the profile.

Step 9 Press F6 (or enter) after filling in the appropriate required and optional fields to process the request. Screen should display ‘RECORD SUCCESSFULLY ADDED.’

Note: The level indicators on a report request should not be set at a level more detailed than the level at which the accounting data is stored. The system cannot generate a report at any level lower than the level stored on the financial table used for the report. Generally, reports can be requested at higher summary levels.

Step 10 Link To the 25 Agency Control Profile for the current fiscal year if the requested frequency is monthly, quarterly, or annually. The current fiscal year is always used, even when running reports for the prior fiscal year.
Step 11 Type <R> in the Action field. Type your agency number in the Agency field and the current fiscal year.

Step 12 Verify that the Reporting Inds field is set for the desired frequency as specified on the 91 Report Request Profile.

Highlighted elements include:

  • Reporting Indicators-control the production of report requests entered on the 91 Report Request Profile.
  • MO-Month determines production of monthly reports requested on the 91 Report Request Profile.
  • QTR-Quarter determines production of quarterly reports requested on the 91 Report Request Profile.
  • YR-Year determines production of yearly reports requested on the 91 Report Request Profile.

    Note: The reporting indicators on the 97 System Management Profile will override the indicators on the 25 Agency Control Profile.

Agencies may set these indicators anytime during the week (not just Friday). The indicators will not default to N until the report cycle is run on the weekend during the month. The indicators will automatically reset to Y when the period is closed statewide.

Reporting indicators on the 25 Agency Control Profile will be reset to Y statewide, only when a fiscal month, quarter, or year is closed. Agencies must reset these indicators as needed during the period.

Note: For reporting agencies and institutions of higher education requesting reports that are pulled from the Accounting Event Table (AE) for month-to-date or year-to-date, the reports must be requested the first weekend of the month when the AE archive records are uploaded into USAS.

Step 13 Logoff of USAS.

95 Report Distribution Profile

The 95 Report Distribution Profile controls distribution of financial reports. A Report Distribution Profile will be centrally established for each agency.

97 System Management Profile

The 97 System Management Profile controls statewide reports. The 97 Profile is established and maintained by the Comptroller’s office.
