Field Descriptions

SCREEN ID
The screen ID consists of "S", followed by a unique two or three-character screen number.
DATE AND TIME
The date and time fields are displayed in the upper right corner of the screen.
FUNCTION KEYS
Available function keys are displayed along the bottom of the screen.
ACTION LINE
The line beginning with the word “Action” is referred to as the “action line”. Available options, listed to the right of the line’s input field, are explained below.
Option Description
A (Add) Used to add a new record. You must have appropriate user security to do so.
C (Change) Used to change a recalled record on the screen from what was originally recalled to the modified values present when the C action is entered.
D (Delete) Used to delete a record. You must have appropriate user security to do so.
N (Next) Used to recall the next sequential record. Use this action to scroll through profile screens. It is useful when searching for information or scanning sequential records.
R (Recall) The default option on all screens. To perform an action, a record must usually be recalled first.
CONTROL KEY FIELDS
Control key fields identify the record you wish to access. For example, AGENCY NUMBER, INDEX CODE, APPN YEAR and PCA are the control keys to the Cost Allocation Profile (S022) screen.
LINK TO FIELD
The LINK TO field enables a user to directly access most USAS screens. A user can activate LINK TO by typing the desired screen number in the LINK TO field and pressing Enter.

Note: A user cannot use the LINK TO function to access a transaction entry screen. Transaction entry is only accessible through the Transaction Entry Submenu, Option D on the MAIN MENU screen.

EFF ST DATE
The eight-digit effective start date (MMDDYYYY) entered here identifies when the information established on the profile record becomes accessible for system processing. Leaving this field blank will cause:
  • The profile record to become immediately available for system processing
  • The effective start date to default to the current date.
STAT CODE
STATUS CODE is an optional field used to indicate if the PCA is active or not. Do so by entering a one-character status code:
  • A Active (Default)
  • I Inactive

Note: The status code may be used in lieu of deleting a profile record to prevent the system from using the profile record for system processing. Set the status to I to inactivate profiles no longer in use.
