Report 761 & 762 FTE State Employee Quarterly

This worksheet is designed as a tool to assist agencies in satisfying the State Auditor's Office (SAO) FTE state employee quarterly reporting requirements. The report produces values based on agency data entry, payroll processing, and position control procedures. Therefore, agencies should verify the correctness of their data before using the figures for SAO reporting requirements.

This report is a snapshot of information as of the last day of the fiscal quarter. All payment information with payment dates within the quarter and all assignment information as of the last day of the quarter are included. Employees assigned to multiple part time positions that total full time are counted as a full time employee.

Note: If the report is requested for an earlier quarter, it is possible the numbers may have changed from the first run of the report as a result of payroll adjustments or cancellations.

Note: Report 762 is only available for agencies 323 and 781.

Selection Criteria All employees with HNH history records that are active on the last day of the quarter and are not assigned to a job class code that is excluded as defined by the REPORT EXCLUDE INDICATOR found on H70U1.

Detail will display by fund and then total; summary will be agency totals only.

Additional Notes 1st three columns should be carried out to 2 decimal places.

If report is run for past quarters, the totals could have changed depending on adjustments or cancellations processed on payrolls after the initial run of the report.

Report Headings

Column One

TOTAL NUMBER OF HOURS IN THIS QUARTER (WORKED AND PAID) DERIVED
Displays the total number of regular hours from payroll history (H0H) paid in the requested quarter. Hours are included when the period begin date on H0H is greater than or equal to the start of the quarter, the H0H period end date is less than or equal to the 14th of the month following the end of the quarter.

Column Two

NUMBER OF HOURS IN QUARTER FULL-TIME EMP WILL WORK AND BE PAID DERIVED
Displays the number of hours in this quarter for which a full-time employee will work and receive pay, assuming a 40-hour Monday-through-Friday work week.

Column Three

FULL-TIME EQUIVALENT EMPLOYEES (FTE) (DIVIDE COLUMN 1 BY COLUMN 2) DERIVED
Displays the number of full-time-equivalent employees for the quarter.

Column Four

NUMBER FULL-TIME EMPLOYEES (FTE) (DIVIDE COLUMN 1 BY COLUMN 2) DERIVED
Displays the number of full time employees of the last day of the current quarter. Counts the assignment History (HNH) records that have an actual FTE = 1.0. Only includes assignments that have an effective date on or before the start date of the quarter and no inactive date on or after the end of the quarter.

Column Five

NUMBER OF PART-TIME EMPLOYEES AS OF THE LAST DAY OF THE QUARTER) DERIVED
Displays the number of part-time employees as of the last day of the current quarter. Counts the assignment history (HNH) records that have an actual FTE < 1.0. Only includes assignments that have an effective date on or before the start date of the quarter and no inactive date on or after the end of the quarter.
