HQ9U1 – Donor Sick Leave

Prerequisites: Donor must have accrued sick hours available to donate to the recipient. The recipient must have a zero balance of accrued sick leave, sick pool leave and extended sick pool.

Step Action
1 Access HQ9U1.
2 Enter the following fields as required:
AGENCY (Key)
EMPLOYEE SSN (Key)
Enter the donating employee’s SSN with two leading zeros.
NAME (Display)
The donating employee’s name.
SICK (Display)
Donor’s current accrued sick leave balance.
TERM DATE (Display)
Donor’s termination date from the agency.
ACTY (Key)
The first two characters represent the leave type. The only valid entry on this screen is DS – DONOR SICK. The last character represents the leave activity. The only valid entry on this screen is G – GIVEN (Donated).
ST (Optional)
Indicates the status of the leave activity. Canceling or deleting the record requires an LOA.
RECIPIENT (Required)
Enter the SSN (with two leading zeros) of the employee who is receiving the sick leave.
HOURS (Required)
Enter the total hours and minutes of leave given. Separate hours and minutes with either a period or a colon. If neither of these is used, the system assumes that any number entered is hours only. For example, 5 is read by the system as 5:00 (5 hours and no minutes), 3.2 is read as 3:02 (3 hours and 2 minutes), 3.20 is read as 3:20 (3 hours and 20 minutes).
ENTRY DATE (Key)
Enter the effective date of the transaction. The entry must be in the current fiscal year. If left as zeros, this field defaults to the current system date. This field is required when the donor or recipient is terminated.
3 Press Enter to process the transaction.

Note: The donor’s accrued sick leave will be adjusted by the number of hours donated to all recipients. HM9U1 will auto generate a leave activity of SLL (Sick Leave Lost) with REASN of DSLV (Donor Sick Leave). Entries to record hours taken by the recipient are made on HM9U1.
