Statewide Payroll/Personnel Reports Guide –
State Employees Employed by More Than One State Agency

The State Employees Employed by More than One State Agency Report lists employees who are currently working for more than one state agency or institution of higher education or who have transferred from one agency or institution to another during the calendar year. This includes employees who transfer to another agency due to legislation enacted during the calendar year.

Report Frequency

The report is generated on the first Friday of every month and made available to agencies and institutions the following Monday.

Who Receives the Report

Each agency or institution receives its own report data.

What You Should Do With the Report

Use this report to verify that:

• Part-time job assignments across all agencies and institutions do not exceed 100 percent when added together.
• Dually employed employees do not receive accruals and benefits more than once.

Contact the other employing agency if you find any discrepancies.

Report Description

For each employee, the report lists:

• Employee number
• Payee PIN
• Employee name
• Calendar year/month
• Agency number
• Agency name
• Object code
• Amount

The report is cumulative for the calendar year. Employees who are terminated with one agency or institution and are hired at another agency during the calendar year appear on this report for the entire calendar year, even though they are not working for more than one state agency at the same time.

Where the Information Comes From

The information used to produce the report comes from payroll history records in the Standardized Payroll/Personnel Reporting System (SPRS). In addition, the history file for higher education reimbursement payrolls processed in the Uniform Statewide Accounting System (USAS) is used to determine comptroller objects and payment amounts for the report.
