Instructions for the GR Reconciliation Web Application
Step 9 – Download Spreadsheet

Agencies may download the data into a spreadsheet format. The downloaded spreadsheet format may be used to verify the data or to serve as permanent documentation after certification.

To begin the download process: These instructions assume you have Microsoft Excel, in which case a template has been provided for ease of formatting. If you do not have Excel, follow steps 1–7 and 11 and then format the spreadsheet manually.

  1. Access the General Revenue Reconciliation web application.
  2. Enter your USER ID and PASSWORD.
  3. Enter your agency number and the appropriate GAAP fund type.
  4. Click the Download GAAP Fund Type button at the bottom of the main menu.
  5. Once the data downloads and appears in your web browser, click Edit in the browser menu bar and choose Select All from the drop-down menu. (Keyboard Shortcut: Ctrl + A)
  6. Click Edit in the browser menu bar and choose Copy from the drop-down menu. (Keyboard Shortcut: Ctrl + C)
  7. Click the Back button.
  8. If Excel is active, click Quit Excel from the Excel’s main menu bar.
  9. Click Download GR Macro at the top of the main menu.

    Note: Choosing the Download GR Macro automatically starts Microsoft Excel.

  10. In Microsoft Excel, go to cell A1, click Edit in the command bar and choose Paste from the drop-down menu.
  11. Press Ctrl + M simultaneously and the information is formatted automatically.
  12. Click OK to “replace contents of the destination cells.”

    Note: Each time you download, use the “master” file and then rename it. If not, the macro will not always work properly.
