Payee Maintenance Criteria

TINS schedules an annual purge process of payee maintenance history, generally on September 1 at the same time as the mail code purge based on the following criteria:

If a Payee Maintenance Transaction… And… Then the Transaction Will Be Maintained on File for the…
Processed but failed An error code was issued Current and one prior fiscal years
Processed successfully No error code was issued Current and three prior fiscal years

Payee Maintenance Purge Clock Examples

If… And… Then…

A TIN has maintenance records that processed in the current fiscal year FY 14 and in FY 13, FY 12, FY 11 and FY 10

All the maintenance records processed successfully

  • Maintenance records processed in FY 14 (current) and FY 13, FY 12 and FY 11 will be on file
  • Maintenance records processed in FY 10 will have purged

Some maintenance records processed in FY 14 and FY 12 failed and issued an error code

  • Maintenance records that processed successfully will be on file for FY 14, FY 13, FY 12 and FY 11
  • Maintenance records processed in FY 10 will have purged
  • Maintenance records with error codes processed in FY 14 will be on file
  • Maintenance records with error codes processed in FY 12 will have purged
